Van Rental Policies

Reservations are not guaranteed until you complete and sign our rental agreement online via Docusign. In the event your reserved vehicle becomes unavailable (i.e. rental extensions, mechanical issues, vehicle involved in accident) Florida Van Rentals reserves the right to substitute a rental vehicle/s of equal or greater size and/or value.

We offer free shuttle transportation to and from the Orlando Intl Airport. You will take free shuttle ride which is 1 1/2 miles away from the airport to pickup vehicle. Once your vacation is over please take free shuttle ride back to the airport on your departure date.

We do allow towing on a select few of our 15 passenger vans. You are only allowed to tow a small, single axle trailer that is 2,500lbs or less. This is due to insurance regulations.

Rental Vehicles returning earlier than the scheduled time on the rental agreement will not receive a refund or a open credit. Florida Van Rentals does not, charge additional money for returning the vehicle early.

The following policy applies to rentals turned in after the designated return time:

We allow a 1 hour grace period on returning the vehicle, any vehicles returned more than 1 hour late shall be charged (1) additional day rent on the vehicle.

After 48 hours our late vehicle will be considered stolen and will be handled accordingly with the proper authorities.

You are able to keep our rental vehicles longer than originally scheduled providing the vehicle is not already reserved for another rental customer. We do not accept verbal extensions (calling by phone, etc). Pre Existing Customer must sign a new rental agreement with extended dates and times in order to extend a rental. There are no exceptions.

Rental Rates are locked in and are guaranteed at the time of booking. Price Rental increases and Price Rental decreases will not affect the rate that you have booked at. If a lower rate becomes available, you may receive the lower rate if you are outside of 14 days of your pickup date. If you are within 14 days of your pickup date you must cancel and re-book the rental, cancellation fee of $100 will be applied.

If you have a Pending Reservation this will need be finalized through our office once we received the completed pdf form.

The cost for the use of the transponders is: 1-3 days is $2.50 per day and 4 or more days it is $10.00 for the rental, plus the cost of the toll.

The renter is fully and totally responsible for any parking, traffic, and E-Z PASS or SUN-PASS summonses during the time of the rental. If you ignore and not pay any summonses you receive, we will be obligated to send your summonses to a company that charges a service fee to collect our tickets charges and bill you on YOUR credit card. There fee is $40 over and above the fee for the summons plus any additional late fees or other service charges administered by Florida or any other municipality that issued the summons.

This could cost you much more than the original ticket. So please don’t get a ticket, but if you do, please pay it timely in order to avoid all the other charges that you will have to pay anyway. If you try to avoid paying summonses, you will only pay much more later. There is no escape from paying summonses. Please take our advise. We know and we’re trying to help you.

Our office will supply a emergency number at the time of rental should you need to speak with Florida Van Rentals outside of normal operating hours.

Florida Van Rentals accepts all major credit cards (check/debit cards are NOT considered credit cards and will require an additional deposit and verification. Please check Debit Card policy for details).

DEBIT/CHECK CARDS – Florida Van Rentals will accept cash and check/debit cards as forms of payment. Florida Van Rentals does NOT accept prepaid cards. Reservations made with a check/debit card will require a $120 reservation deposit. This deposit will go towards the cost of your rental and acts as a prepayment.

YOU MUST CONTACT FLORIDA VAN RENTALS PRIOR TO YOUR RENTAL FOR CASH/DEBIT/CHECK CARD POLICIES. FAILURE TO DO SO MAY RESULT IN CANCELLATION OF YOUR RENTAL AND FORFEIT OF YOUR DEPOSIT.

An additional deposit of a minimum of $500 and full coverage auto insurance that transfers to our vehicle will be required for any renters using a card with debit/check anywhere on the card. Requirements when using cash, check, and debit cards; We require a min of a 3 day rental.

You must bring in 3 forms of ID showing your current address. You must provide us with 3 working phone numbers to get a hold of you. You must have your own auto insurance that will transfer to protect our vehicle.

CASH PAYMENTS – Cash is accepted with an additional security deposit of $500 in addition to the cost of the rental. For instance, if your rental is $600, you would need to have $1,100 cash available at pickup.

FLORIDA VAN RENTALS does NOT refund in the form of cash at any time. Refunds will be made by check and sent via regular mail within 3-5 business days of the vehicles return.

CHECK PAYMENTS – Personal checks or handwritten checks are not accepted for any reason. School, government, or institution checks are accepted providing FLORIDA VAN RENTALS receives the check a minimum of 14 days prior to the pickup date.

FLORIDA VAN RENTALS will STILL REQUIRE a credit card authorization to be placed on file – this is for incidentals only and WILL NOT be charged unless vehicle is returned with less fuel, damage, etc.

Cash deposits are not accepted.

No travel allowed outside the continental United States. No travel to Canada or Mexico. Written authorization is required to travel outside the State of Florida. If rental vehicle is driven outside State of Florida with or without written office authorization there will be a $500.00 up-charge. Free mileage will be null and void.

Reservation cancelled 30 days or more prior to arrival – $50.00 cancellation fee Reservation cancelled 14 to 29 days prior to arrival – $100.00 cancellation fee Reservation cancelled 0 to 13 days prior to arrival – $100.00 cancellation fee and balance held for 1 year from original arrival date and cancellation can be extended on a annual basis until used and the balance will be applied to a new reservation. Any customer that has a vehicle cancellation needs to email our office. No refunds on early returns.

We are not responsible for ANY belongings left behind in our vehicles.

Any Items found in our vehicles will be returned at YOUR expense.

It is the responsibility of the supervising adult to ensure that any child under 7 years old is seated in a federally-approved child car seat.

Never put your child in a child car seat in the front of a vehicle with a passenger air bag. It is always safest for your child to ride in the back seat.

No pets are allowed in any of our rental vehicles unless CRATED. It is the renters responsibility to ensure that the vehicle is clean and odor-free and has no signs of pet hair. Service animals are always allowed in Florida Van Rentals vehicles with proper notification and documentation.

A $75.00 cleanup fee will be assessed to any vehicle with any signs of pet transportation.

Use of vehicle is limited to your personal use.

You are not permitted to use the van to carry passengers or property for hire without prior authorization. To tow or push anything.

To be operated in a test, race or contest or on unpaved roads, or while under the influence of alcohol or a controlled substance or for an illegal purpose including the transportation of a controlled substance or contraband or outside of the U.S.A. I am prohibited from removing any equipment from the vehicle.

A violation of this paragraph automatically terminates my rental, makes me liable to you for loss of use, all the penalties, fines, forfeitures, liens and recovery and storage costs, including all related legal expenses.

No SMOKING is allowed in any of Florida Van Rentals vehicles. There will be a $250.00 smoking fee should the rental vehicle have a odor of smoke in rental vehicle. Customer will be responsible for any damage to any seats (Cigarette Burns).

Each one of our vehicles is equipped with a spare tire and a jack with lug wrench. It is the sole responsibility of the renter to replace the tire with the spare provided in case of a flat tire.

We do not give flat tire replacement service.

The renter is also responsible for the cost of the replacement tire.

Unfortunately there is sometimes road hazard, but we cannot assume responsibility for the damage caused to the tires and rims.

Please drive carefully.

Florida Van Rentals vehicles are equipped with a spare tire and a jack with lug wrench. It is the sole responsibility of the renter to replace the tire with the spare provided in case of a flat tire. We do not give flat tire replacement service. The renter is also responsible for the cost of the replacement tire.

Unfortunately there is sometimes road hazard, but we cannot assume responsibility for the damage caused to the tires and rims. Please drive carefully!

The Fuel Level will be checked and confirmed from our office staff at the time of rental. The CUSTOMER is required to bring the rental vehicle back with the same amount of Fuel as when rented. Fuel discrepancies will be billed up to $10.00 US per gallon and this rate will be reflected on van rental contracts.

Vehicles must be returned with the fuel tank: Full.

Fuel surcharges will apply. Price depends on current market. Ask at counter.

Any Customer that rents any our our Mercedes Sprinter Vans must fill up vehicle with Diesel Fuel only.

If Customer puts gasoline in rental vehicle rather than Diesel Fuel this will void any insurance coverage for rental period and customer will be responsible for complete repair costs.

The soft top on our Jeeps are to only be used in the up or completely fastened position or completely down with side windows removed.

Do not use the top partially up or down as this may cause the roof to be damaged or come completely off.

Any damage to the roof due to renter error shall be the sole responsibility of the renter.

Please ask a rental agent for instructions if you are unsure how to operate the top.

Seats Up to Four (4) people only which includes one person using a Free Scooter or Power Wheelchair. The Free Use Of Our Equipment for a Power Wheelchair Or 3 Wheel Scooter Holds up to 250 pounds only.

We Highly Recommend purchasing the damage waiver for the duration of your scooter rental. By not purchasing the damage waiver, you are agreeing with the terms and conditions set forth here.

Accidental damage waiver insurance is offered for an additional premium, when making your reservation, should this insurance not be selected, renter agrees to reimburse Florida Van Rentals its authorized agents or representatives, upon demand, for part or as necessary, full replacement value, for any damage to or destruction of the mobility equipment, the renter acknowledges, agrees and authorizes Florida Van Rentals to charge the credit card used for any relevant repair costs or if required, the full replacement of the mobility equipment.
